So, MS Access database slow like hell. How do I index the fields?

Ok guys, I need you. Still me here..Sun under another account.

So, MS Access database, 15 users, 7000 records (about 170 fields in 1 main table and a few other status tables). The bulk is in the main table.

The report has about 40 subreports which are basically counts, sums, averages per quarter per client etc..so just compact repoting type data.

How would I index the fields used in these subreports?

How do I know if a query has a faulty design?

How can I archive some data...yet still run this big report (that accesses ALL the 7000 records)?

What's (in a few words) SQL severs? I know the db is right now on a shared drive..don't know more than that, don;t even know what to ask.

Please HELP. I'm a finance major...don;t know why the hell I've been asked to research this. Sad.

The shortest answer to the indexing question is to open the table in design view, click on the field you want to index, and choose an option from the "Indexed" drop-down in the lower half of the window. The options are Yes (Duplicates OK), Yes (No Duplicates), and No. I would experiment with the Yes (Duplicates OK) option.

Applying indexes is sort of an art. It works best on fields that have lots of variation in their values and that you will eventually use in the WHERE clause of a query.

Because indexing is sort of an art and its benefits depend greatly on how the data was structured originally--I doubt that indexing will help you now.

Your 170 columns + 40 subreports + 15 users on a shared drive is a perfect storm of things I would hope never to see in an Access database. I don't think you can win.

If you were to archive some data--but still wanted to get all 7000 records in your report, you would use a UNION query to "stack" the two tables on top of each other to form a single result set. But it saves you nothing because you've still got the original row count. The archiving suggestion is a dead-end if you're still hoping to get your original record count.

Microsoft SQL Server is an "industrial strength" database product intended to handle large amounts of data and lots of concurrent users. Getting it set up is to use effectively is a potentially expensive and drawn-out exercise, though.

You asked about faulty query design. I don't know a simple answer, here. Some very complex queries run fast. Some simple queries run slow. I don't think there's any good predictor of performance you can infer just by looking at the queries. You have to know something about the underlying data--which leads back to questions of why there's 170 fields in your base table. That strikes me as way too many. (30 would be a maximum I'd be comfortable with.)

I'm sure there's a reason there's 170 columns in your table--but I doubt it's a good reason.
